Terms and Conditions

These Terms are applicable to all Contracts of any kind made by HOTEL VW CANYON("the Hotel") and its clients (at times herein referred to as -"the Clients" or "Guests" or singular thereof) and apply to all reservations, bookings and agreements for accommodation, dining, function room hire and use of all services at HOTEL VW CANYON, Swanage and use of this website.These terms apply to all bookings to the exclusion of all other terms and conditions except to the extent of specific terms for a particular booking that have been signed in writing by an Authorised Representative of the Hotel.

Clients are invited to read these provisions and note their responsibilities, arrangements for payments, cancellation, terms and limitations on the liability of the Hotel.

The issue of a Booking Confirmation by the Hotel to the Guest or Client is deemed acceptance of these terms.

Supply of Service

The Hotel shall provide the Services to the Client subject to the Contract.

The Client shall at its own expense supply the Hotel with all necessary data or other information relating to the Services within sufficient time to enable the Hotel to provide the Services in accordance with the Contract. The Client shall ensure the accuracy of all such information. Specific information requirements are contained in the Schedule. The Hotel may at any time without notifying the Client make any changes to the Services which are necessary to comply with any applicable safety or other statutory requirements, or which do not materially affect the nature or quality of the Services.

Charges

The charges payable by the Client shall be detailed by a booking confirmation by the Hotel.

If no charges are specified or additional and varied Services are provided to the Client, the Client shall pay the Standard Charges at the prevailing rate on the day the Services are provided and any additional sums which are agreed between the Hotel and the Client for the provision of the Services.

All charges quoted to the Client for the provision of Services are inclusive of any Value Added Tax (VAT) at the applicable rate at the tax point unless otherwise stated.

A minimum length of stay, deposit, cancellation charge and other conditions may also apply to certain rates, which will be separately identified on the booking confirmation.

Payment

Clients will be asked to provide a credit or debit card at the time of the Booking to secure the reservation.

No allowances can be made for temporary absence, meals not taken, late arrival or early departure.

We accept the following methods of payment: Credit Cards: MasterCard, Debit Cards: Visa / Delta and Visa / Electron. The Guest must pay all outstanding charges on departure from the Hotel.

Cancellation and Non-Arrival

No allowances can be made for temporary absence, meals not taken, late arrival or early departure.

Change of Booking Details

Reservations may be amended but any change to the arrival date, departure date or room type is subject to availability at the time the change is requested and may result in a possible rate change. Any deposit / prepayment held will continue to be subject to the terms and conditions at the time of the original booking.

Arrival and Departure

The check in time for guests is 12 Noon and check out is 12 noon. Check out after 12 Noon is subject to charge. For Early check in or late checkout it depends on availability and is chargeable.

Extension of checkout date mentioned during check in or advance booking depends upon availability and management's decision.

Client Responsibilities

We reserve the right to judge acceptable levels of noise or behaviour of Clients and their guests or representatives, who must take all steps for corrective action as requested by us. In the event of failure to comply with our requests, we may terminate the booking, stop any event immediately and / or ask the Client to vacate the premises immediately. No refunds or compensation will be given in these circumstances and we reserve the right not to accept any future bookings from the Client, their guest or any representative.

We reserve the right to refuse a Client, and their guest or any representative entry and accommodation if, on arrival, management reasonably considers that the person is under the influence of drink or drugs, is unsuitably dressed or is behaving in a threatening, abusive or otherwise unacceptable manner

No Responsibility for Client's Property.

The Hotel does not accept any responsibility for the Client's personal property nor those of its guests, employees, representatives, invitees or contractors including gifts, presents, seminar, conference, exhibition, or other corporate presentation material or such other items brought by the Client, its employees, Guests, representatives, invitees or contractors to the Hotel (cumulatively referred to as the "Client's Property").

The Hotel may, at the request of the Client, provide personnel to assist in carrying, directing, placing, installing or setting up (as the case may be) the Client's Property. The Hotel will not assume custody or control of such articles, which remain on Hotel premises at the owner's sole risk. In such an instance, the Client acknowledges and accepts that the Client shall remain responsible for the Client's Property and shall not hold the Hotel liable in any manner whatsoever.

Client's Responsibilty for Damage and Other Limitations of Hotel's Liability.

The Client is responsible for any damage caused to the allocated rooms, its furnishings, utensils, fixtures and fittings and equipment in such rooms by any act, omission, default or neglect of the Client, their guests, employees, representatives, invitees or contractors and shall pay to the Hotel on demand the amount required to make good or remedy any such damage. Clients should ensure that valuables are covered by the Client's own insurance policy. The Hotel's liability is limited to the terms of the Hotel Proprietors Act 1956. Clients must report any loss of or damage to their property immediately on discovery to the Hotel's Management, and shall make themselves available to assist with any reports made by the Hotel to the police.

Clients shall not enter areas of the Hotel which are indicated as being closed to the public. The Hotel shall not be responsible for death, personal injury or loss or damage to property suffered by a Client including their guests or representatives.
